Logo_Icd2016.GIF Instructions for preparing the revised, IEEE Xplore compatible, final version of manuscripts

Deadline : June 15, 2016

The following procedure MUST BE ENTIRELY COMPLETED by the authors for each paper before June 15, 2016 in order to allow the papers to be indexed in IEEE Xplore and published in the IEEE ICD 2016 Conference proceedings.

It requires 5 steps.

1) Sign the copyright transfer agreement, save it and e-mail it to icd2016@sciencesconf.org. In order to do this:

1.1   Browse the address https://www.lirmm.fr/ies/copyright.php and fill in all the required fields by following the instructions on the form, then press the “Copyright Submission” button. You will be taken to the IEEE eCopyright site.

1.2   Follow the instructions on the IEEE eCopyright site to complete the copyright transfer form.

1.3   Once the copyright transfer form completed, download it and save it on your computer.

1.4   E-mail the copyright transfer form to icd2016@sciencesconf.org by indicating the SciencesConf paper ID which it is related to.

 2) Insert a copyright notice in your source document (.doc, LATex) as indicated herein after:

 2.1 From the following copyright clearance code notices, please choose the ONE which is in accordance to the authors’ status and insert it on the bottom of the first page of the paper:

  • If all authors are employed by the US government, the copyright notice to be inserted is:
    US. Government work not protected by U.S. copyright

  • If all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice to be inserted is:
    978-1-5090-2804-7/16/$31.00 ©2016 Crown
  • If all authors are employed by the European Union, the copyright notice to be inserted is:
    978-1-5090-2804-7/16/$31.00©2016 European Union
  • In any other case, the copyright notice to be inserted is:
    978-1-5090-2804-7/16/$31.00 ©2016 IEEE

 2.2   Proofread your source document thoroughly to ensure that it will require no revision.


3) Use the IEEE PDF eXpress site to convert your paper into a IEEE Xplore-compatible PDF file(s). To do this :

  3.1 Log in to the IEEE PDF eXpress site at the address http://www.pdf-express.org/

  First-time users should do the following:

  3.1.1. Select the New Users - Click Here link.

 3.1.2. Enter the following:

  • 37578X for the Conference ID
  • your email address
  • a password

 3.1.3. Continue to enter information as prompted.

 An Online confirmation will be displayed and an email confirmation will be sent verifying your account setup.

 Previous users of PDF eXpress need to follow the above steps, but should enter the same password that was used for previous conferences. Verify that your contact information is valid.

 Nota : If you have any problems related to PDF eXpress, please access directly the IEEE publications support center for IEEE PDF eXpress support: https://supportcenter.ieee.org/  

If you do not find an answer in the Find Answers tab, goto the Ask A Question tab. Your question will be forwarded to IEEE PDF Support and answered within 3 business days.



4) Upload the IEEE Xplore-compatible PDF file(s) and their sources (.doc, Latex…) to the http://icd2016.sciencesconf.org/ site:

4.1 The IEEE Xplore-compatible PDF must be uploaded as the paper file (main document). If you have already uploaded a revised PDF version of your paper, please replace it by the IEEE Xplore-compatible PDF.

4.2. The document source (.doc, Latex…) must be uploaded as a supplementary data file.

 5) E-mail to icd2016@sciencesconf.org, by indicating the sciencesconf paper ID:

 5.1   The IEEE Xplore-compatible PDF;

 5.2   The copyright transfer form  (if you haven’t already done it).

  You’re done!

FULL-TEXT papers and publication in IEEE Xplore

The full-text papers uploaded on the conference site are currently being reviewed for publication and referencing into the IEEE Xplore system. In order to have your paper(s) referenced on IEEEXplore, please make sure you take into account the reviewers' comments and suggestions. In particular, the IEEE Template must be strictly respected.

You will be able to make modifications to your full-text paper(s) in accordance with the reviewers' requests (if any) between May 25 and June 10, 2016.

You will be able to access the reviewers' remarks on the submission site http://icd2016.sciencesconf.org after logging in with your "sciencesconf" credentials, as usual.


The registration site is already open. Please registrate as soon as possible by accessing the "Registration" tag from the ICD 2016 site (http://www.ies.univ-montp2.fr/icd2016/index.php/registration ) or by accesing directly https://base.ies.univ-montp2.fr/ICD/registration.php.


The conference schedule will be accessible on the ICD 2016 site (http://www.ies.univ-montp2.fr/icd2016/index.php/test ) on Monday May 9, 2016. The detailed conference programe will be available by May 30, 2016.

In order to submit yous contribution(s), you need a "sciencesconf" account.
If you already have a "sciencesconf" account, you can login using your credentials and follow the instructions for submitting your abstract.

If you don't have a "sciencesconf" account, please follow the following steps :

1) Create an account using the "Create account" link from the left column menu.
Please make sure you fill in all the mandatory fields. You will have to choose a login name and a password and to provide a valid e-mail address.

An e-mail requiring to validate your account will be sent to you. Use the provided link to validate your account.

2) Once your "sciencesconf" account has been created, login with your credentials using the login space in the left column and follow the instructions for submitting your paper.

Please note that the paper must be written in accordance with the conference template and must be in the PDF format.

The first edition of a series of biennial International Conferences on Dielectrics will take place in Montpellier, France, from Sunday 3rd until Thursday 7th July 2016.
